This report explains how to use the Geofence Areas feature, a powerful tool designed to help you efficiently manage and monitor vehicles within defined geographic zones. By creating virtual boundaries, you gain greater control and insight into movement, enhancing security, and optimizing your operations.
1. Executive Summary
The Geofence Areas feature allows you to create and manage virtual boundaries around real-world locations on a map. This means you can easily track when vehicles enter or exit specific areas, set up alerts, and gain valuable insights into their movements. For you, this translates to improved security, more efficient logistics, and better control over your fleet, all presented in a user-friendly interface that prioritizes simplicity and actionable information.
2. Introduction
Imagine being able to know exactly when a delivery vehicle enters a customer's neighborhood, or when a company asset leaves a designated storage yard, all without constant manual checking. That's precisely what the Geofence Areas feature empowers you to do.
This tool addresses common challenges like:
- Manually tracking vehicle movements, which is time-consuming and prone to errors.
 - Ensuring vehicles adhere to specific routes or stay within approved zones.
 - Responding quickly to unauthorized movements or unexpected delays.
 - Needing clear, visual oversight of key operational areas.

What is a Geofence? A geofence is simply a virtual boundary you draw on a map around a real-world geographic area. When a vehicle, equipped with a GPS tracker, crosses into or out of this boundary, it can automatically trigger a pre-defined action or alert.
- Transportation Geofence: This is a broad virtual boundary for your entire operation or a major customer account. Think of it as your overall service area, encompassing warehouses, common delivery zones, or major highways.
 - Trip Geofence: This is a more specific virtual boundary for a particular journey within a larger transportation geofence. For example, a trip geofence could be defined for a vehicle traveling from "City A" to "City B" to monitor its adherence to that specific route.

The Geofence Areas feature simplifies monitoring your fleet, giving you peace of mind and the data you need to make informed decisions.

What This Means for You
- Enhanced Security: Get immediate alerts if a vehicle enters or exits unauthorized zones, helping prevent theft or misuse.
 - Improved Efficiency: Monitor adherence to delivery routes and schedules, optimizing your logistics and reducing delays.
 - Better Oversight: Visualize your operational areas and vehicle movements clearly on a map.
 - Simplified Management: Easily add, edit, or remove geofence boundaries as your operational needs change.
 - Quick Reporting: Export geofence data into PDF or Excel formats for analysis and record-keeping.
 - Mobile Accessibility: Manage your geofences on the go, as the system works perfectly on mobile devices.

How It Works
The Geofence Areas feature is part of the Master Data module and allows you to define virtual boundaries on a map. These boundaries can be circular, rectangular, or complex polygons, tailored to your specific needs. Once set, the system actively monitors vehicles in relation to these geofences, triggering actions or notifications based on entry or exit.
The overall workflow looks like this:
From the Geofence Areas screen, you can:
- Add New Geofence Areas: Define new virtual boundaries.
 - Edit Existing Geofence Areas: Adjust the details or boundaries of previously created geofences.
 - Remove Geofence Areas: Delete geofences that are no longer needed.
 - View Geofence Details: See comprehensive information about any geofence, including its shape and associated data.
 - Search and Filter: Quickly find specific geofences using location names, addresses, latitude, or longitude.
 - Export Data: Download your geofence data for reporting or archiving.

- For Circular/Rectangle: Draw the shape directly on the map.
 - For Polygon: Define at least 3 points to create the custom shape.

 - Review your entries and click the Submit button.

To Edit an Existing Geofence:
- On the Geofence Areas list, click on the Geofence area card you wish to edit. A popup will appear showing its details.
 - Click on the "..." (three dots) option within the popup.
 - Select the "Edit" button.
 - Make the necessary changes to the geofence details or adjust its boundaries on the map.
 - Click Save to confirm your updates.

To Delete a Geofence:
- On the Geofence Areas list, click on the Geofence area card you wish to remove. A popup will appear showing its details.
 - Click on the "..." (three dots) option within the popup.
 - Select the "Delete" button.
 - Confirm the deletion when prompted.

Key Features You'll Use
- Add Geofence: Easily create new geofence areas by defining their name, location details, and drawing their shape (circular, rectangular, or polygon) directly on the map.
 - Edit/Update Geofence: Modify the details or boundaries of any existing geofence.
 - Delete Geofence: Remove geofences that are no longer relevant.
 - Geofence Map View: Visualize all your geofences on an interactive map, complete with zoom-in and zoom-out functionality to adjust your view.
 - Location Search: Quickly find specific geofences by typing in a location name, full address, latitude, or longitude in the search filters.

Common Scenarios
- Monitoring a Delivery Zone: Define a Transportation Geofence around your primary service region. Then, create a Trip Geofence for each specific delivery route from your warehouse to a customer, ensuring drivers stay on track.
 - Securing a Fleet Yard: Draw a Polygon Geofence around your vehicle parking facility. You'll receive an alert if any vehicle leaves the area during off-hours, enhancing security.
 - Tracking Asset Movement: Set up a Circular Geofence around a construction site. You'll know exactly when equipment enters and exits, helping with billing and inventory.
 - Updating Business Locations: If a client's main office moves, you can quickly Edit their associated geofence to reflect the new boundaries, ensuring continuous accurate tracking.
 - Finding a Specific Site: If you need to quickly locate the geofence for "Northwest Warehouse," simply use the location name search filter to pinpoint it on the map.
 - Reporting on Vehicle Activity: At the end of the month, export all your geofence data to an Excel file to analyze vehicle entry/exit patterns and compliance.

What to Expect
- When adding a geofence: You will see a success message, and the newly created geofence will immediately appear on the map within 2-3 seconds.
 - When editing a geofence: The system will confirm your updates, and the geofence details or boundaries on the map will reflect your changes.
 - When deleting a geofence: The selected geofence area will be removed from the list and map, often with a confirmation message.
